Important Eligibility Policy

On-site booths for Resources and Vendors are strictly reserved for non-profit organizations and local businesses owned by a member of the Disability Community.

If your business does not meet these criteria but you would still like to support the event, please visit our Sponsorship Page for alternative marketing opportunities and ways to back the Crystal Lake Disability Pride Event.

We welcome vendors who align with our mission of celebrating disability pride and supporting the disability community. The vendor fair takes place in the Commons area inside Building B at McHenry County College on July 25, 2026, from 10:00 AM to 1:00 PM.

Whether you offer products, services, advocacy resources, or community information, we invite you to connect directly with attendees in a welcoming, fully accessible environment.

Vendor Guidelines

Setup & Timing

  • Vendor check-in and setup: 8:00 AM – 9:30 AM
  • Event hours: 10:00 AM – 1:00 PM
  • Teardown: Must be completed by 2:00 PM
  • All vendors must be fully set up and ready by 9:45 AM.

Table & Space Details

  • Each vendor will be assigned one 6-foot table and two chairs.
  • Table dimensions: approximately 6 feet long × 2.5 feet wide × 30 inches tall.
  • Additional table requests may be accommodated based on availability — please inquire in advance.
  • Vendors are responsible for their own tablecloths, signage, and display materials.

Power & Electrical

  • Limited electrical outlets are available. Not every vendor space will have direct access to a power outlet.
  • If your setup requires electricity (e.g., for a display screen, charging station, or powered equipment), you must request this in advance so we can assign you an appropriate location.
  • Extension cords and power strips must be safely routed to prevent tripping hazards in accessible pathways.

Accessible Booth Requirements

All vendor booths must meet the following accessibility standards to ensure every attendee can fully participate:

  • Clear pathways: Maintain at least 36 inches of clear space on all sides of your table for wheelchair and mobility device access.
  • Reachable displays: Place key materials, brochures, and products within reach from a seated position (no higher than 48 inches).
  • Text alternatives: Provide text descriptions or verbal explanations for any visual-only materials (posters, banners, product images).
  • Large print options: Have at least one copy of key handouts available in large print (minimum 18-point font).
  • No strong fragrances: Avoid scented products, candles, or perfumes at your booth to support attendees with chemical sensitivities.
  • Tripping hazards: Secure all cords, mats, and signage bases flat to the floor.
